VocType

Privacy policy

Last updated · November 6, 2026

This policy covers the VocType desktop app and the website https://voctype.com. Both are made by APPSOL360 LLC, which is responsible for the personal data described here.

1. The short version

  • When you dictate, VocType sends your recording over an encrypted connection to a speech-to-text provider, which returns the text. If you dictate in Urdu or Hindi, that text also goes to a translation provider. VocType's servers do not store your audio.
  • If a recording cannot be transcribed, it stays on your computer so you can retry it. It is not uploaded again unless you retry.
  • We store the text of each successful dictation so it appears in your History.
  • Crash reports are on by default. They never include audio or transcripts, and you can turn them off in Settings.
  • We do not sell personal data or share it with advertisers. This website uses Google Analytics cookies only if you allow them, and it has no ad trackers.

2. What we collect

Account

  • Your email address, used for sign-in, billing and service emails.
  • An account identifier.
  • Your subscription status (for example, trialing, active or cancelled) and when your plan or trial ends.

Transcripts (History)

For each successful dictation we store the text, its language, its length and when it happened, so it appears in History and you can copy it again.

Usage records

For each dictation attempt we keep a usage record: its length, language, whether it succeeded and when it happened. It contains no text and no audio. We use it to apply your plan's caps, to bill only successful dictations and to spot abuse.

Personal Dictionary

We store your vocabulary and word replacements with your account. We send your vocabulary with each recording to the speech-to-text provider as spelling hints, and to the translation provider for Urdu and Hindi. VocType applies word replacements to the transcript on your device and does not send them to either provider.

Clipboard

To paste a dictation, VocType puts the text on your clipboard and presses paste in the app you were using. About a quarter of a second later, it puts back the text that was on your clipboard before. Until then, other apps that read the clipboard, such as clipboard managers, can see the dictated text and may keep a copy. VocType does not send your clipboard contents anywhere.

Notifications

If you turn on notifications, we store a push token for each computer you sign in on, with its app version and language, so announcements can reach it.

Emails

We send sign-in links, trial reminders and billing emails through Resend, which receives your email address and the message.

Billing

Card numbers are handled by Stripe. We receive event details (for example, subscription created or payment failed), never card details.

Stripe screens payments and trial signups for fraud using Stripe Radar. To do this, Stripe uses details such as your card, email address, IP address and device information, and handles them under its own privacy policy. We do not keep our own list of cards, devices or emails to block repeat trials.

Crash reports

Crash reporting is on by default. VocType sends crash diagnostics and sampled performance timings to Sentry, including the app version, error category and sanitized stack locations. Reports exclude audio, transcripts, clipboard contents, emails and home folder paths. We do not send native memory dumps or screenshots, or attach an account or persistent install identifier to these reports.

Turn off "Send crash reports" in Settings to stop new reports immediately and keep reporting off after restarting. A report already sent cannot be recalled by the toggle. Turning reporting back on takes effect after restarting VocType. Sentry receives your IP address as part of the network connection; we do not attach it as an event field.

This website

Our hosting provider, Vercel, processes your IP address to serve pages. When you click a download button, we log which button you used and which page it was on, not who you are.

Analytics and cookies

On your first visit the website asks whether it may use Google Analytics. Until you click Accept, no analytics code loads and no analytics cookies are set. If you accept, Google Analytics 4 records the pages you view, which download or sign-in button you click, and your browser, device type and approximate location, so we can see which pages help. Page addresses are sent without the part after the question mark. Google says Google Analytics 4 does not log or store IP addresses. Google Analytics keeps event-level data linked to cookies or other identifiers for 2 months. Aggregated reports are not affected. The processor is Google Ireland Limited for visitors in the European Economic Area, the UK and Switzerland, and Google LLC for everyone else. See Google's privacy policy.

You can change your choice at any time with Cookie settings at the bottom of every page. Rejecting deletes the analytics cookies the site set. Your choice itself is stored in your browser's local storage, not in a cookie.

3. Audio

VocType has one transcription mode, and it runs in the cloud. Your recording goes over an encrypted connection to an AI speech-to-text provider. If that provider is down or too slow, the same recording is sent once to a backup provider. If you dictate in Urdu or Hindi, the transcript then goes to an AI translation provider, which returns it in English. VocType's servers pass the audio through and do not store it.

These providers can keep requests for up to 30 days, for example to investigate errors or abuse. If a provider's safety system flags a request for breaking its usage rules, it can keep that request for up to 2 years. A provider can also keep data for longer when the law requires it.

Recordings that fail

  • If a recording fails because of a network or provider problem, the app keeps it in memory on your computer for up to 24 hours so you can retry it from History. It is deleted when you quit the app, when a retry works, when you delete it, when you sign out, or after 24 hours.
  • If a recording cannot be transcribed because you have reached a cap or your plan has ended, the app saves it in an encrypted file on your computer, so it survives a restart. It is deleted when a retry works, when you delete it or when you sign out. The app warns you before signing out deletes it.
  • Failed recordings never leave your computer unless you retry them, and you cannot export them.

4. How long we keep data

  • History: 90 days, then deleted automatically. You can delete all of it sooner with Clear History in the app. Deleting your account deletes it straight away.
  • Audio on our servers: none. Failed recordings stay on your computer, as described above.
  • Usage records: the length, language and word count of each transcription, never the text or audio. We keep them after you delete your account, for our cost records. They don't include your email.
  • Account and subscription details: while your account exists.
  • Push tokens: until you sign out on that computer or delete your account.

5. Deleting your account

Open Settings in the app, then Account, and click Delete account. We delete your account, your History, your dictionary and your other account data straight away, and the app signs you out on every computer. Failed recordings saved on a computer are also removed the next time the app opens there. You can also email support@voctype.com from the address you signed up with, and we will do the same. Deleting your account cancels any renewal. If a refund is still being handled when you delete your account, we keep only what we need to finish it: your email address, the payment and refund references, the amount, its status, the dates and our decision. We delete that record 30 days after the refund is paid or we tell you that no refund is due. It never includes audio, transcripts or card details.

6. Who processes your data

  • AI service providers: speech to text, and translation of Urdu and Hindi dictation.
  • Stripe: payment processing and fraud screening (Stripe Radar).
  • Link (Sold through Link, LLC): reseller and merchant of record for checkout, sales tax and VAT, receipts and payment support.
  • RevenueCat: subscription status.
  • Firebase (Google): sign-in and push notifications.
  • Resend: sign-in, trial and billing emails.
  • Sentry: crash diagnostics and sampled performance timings when crash reporting is on.
  • Vercel: hosting for this website.
  • Legal compliance: we share data only when compelled by valid legal process.

These providers process data in the United States and other countries where they operate.

7. Your rights

Email support@voctype.com to access, correct, export or delete your account data, including your History. We respond within 7 days. Residents of the EU, the UK and California have rights under GDPR and CCPA; use the same address.

8. Security

Sign-in tokens are stored in the operating system's secure storage (the Keychain on macOS). Saved recordings are encrypted on disk. Server traffic is HTTPS only.

9. Children

VocType is for adults aged 18 and over. We do not knowingly collect data from children.

10. Changes

If we change this policy, the "Last updated" date moves, and we announce significant changes in the app and by email.
